A zip file is a folder that has been packed into one file so it is easier to email or download. Windows opens and creates .zip with a right-click. You do not need WinRAR for that. You do need another tool for .rar and .7z — those are different formats, even if the icon looks similar.
What you need
- File Explorer (the yellow folder on the taskbar)
- Enough free space to hold the unpacked files
In this guide
1. Unzip (extract) a .zip
Right-click the .zip → Extract All. Choose a folder. Extract. Open that folder, not the zip itself, to work with the files. If you open the zip like a folder and double-click a Word file, you may be editing a temporary copy that disappears.
On Windows 11 the right-click menu is shorter. Use Show more options if Extract All is hidden, or open the zip and click Extract all in the toolbar.
2. Make a .zip from files or a folder
Select the files or the folder. Right-click → Compress to ZIP file (Windows 11) or Send to → Compressed (zipped) folder (Windows 10). A new .zip appears next to them. Rename it before you send it.
Do not zip a zip. Do not zip a 40 MB PDF expecting Gmail to accept it — PDFs do not shrink much. Use the PDF compress guide or send a cloud link.
3. When it is .rar or .7z
Windows will not extract those with Extract All. Use 7-Zip from 7-zip.org (free, no ads in the official build) or another known archiver. Install it, then right-click → 7-Zip → Extract here. Avoid lookalike sites that bundle junk.
4. Passworded archives
If Extract All asks for a password, you need the password. There is no legitimate “forgot zip password” trick that works in a reasonable time on a strong password. Ask the sender. Do not upload the archive to a password-cracking website.
Broken or empty zips
Extract All errors, or the folder is empty
- The download may be incomplete. Check the file size against what the sender quoted. Download again.
- A “.zip” that is actually an installer renamed by email filters will not extract. Ask for a cloud link instead.
- Path-too-long errors: extract to C:\Temp rather than a deep nested Documents path.
Common questions
Do I need WinRAR?
Not for .zip. Windows Extract All and Compress to ZIP are enough. You need another tool only for .rar or .7z — 7-Zip from 7-zip.org is the usual free choice.
I edited a Word file inside the zip and it vanished.
You edited a temp copy. Extract All first, then open files from the new folder.
Extract All says the path is too long.
Extract to C:\Temp instead of a deep Documents path.
